MiniMatters, A Women-Owned Business, Saves Time and Focuses on Hot Leads with SyncApps

Elissa Leif and Barbara Haupt knew that in order to continue to grow MiniMatters, their web video production and marketing company, they had to squeeze more effectiveness  from their own marketing and sales process.

They had hit an important growth speed bump - as they got busier with client work, how could they maintain good follow-up with their growing prospect list?

Barbara and Elissa had a good practice of taking in and tracking new leads. But as their business expanded, with more prospects and more pending proposals, they could no longer rely on their calendar and reminder systems. They needed a customer relationship management (CRM) system.

Saving tedious administrative time

But having a new CRM system meant more administration.

“I got to the point where I dreaded coming back from a successful networking function,” noted Elissa, who now needed to input each contact in two places: their CRM and email marketing systems.

She started searching for a solution and found SyncApps by Cazoomi®, which seamlessly synchronizes the data between Constant Contact and the major CRM products – including the all-important “opt-outs.”  After following the instructions to set up a sync profile, she could enter contact data once in the CRM, along with any notes and useful tagging for further follow-up. And being cloud-based, both she and Barbara could share the task without fear of double entry or over-writing.

Targeted mailings for sales results

Barbara and Elissa also realized that SyncApps could help them do a better job of nurturing their sales process through their email marketing. They had been sending out regular newsletters, but were sending out the same newsletter at the same time to all contacts on their list. SyncApps for Constant Contact enabled them to segment their mailing list and to classify prospects and current customers.

With their more tailored lists, they sent out their first segmented mailing to announce their new video marketing blog

MiniMatters closed the email to hot prospects with the simple call to action “Let’s talk about your upcoming projects.”

Even this simple change had immediate impact. Within hours of their first mailing, they received a call from a prospect who wanted to talk that very day about having MiniMatters produce a video.

The Green Economy talks about using Sync Apps, Zoho CRM & Constant Contact to manage their critical publication contact data.

Header_blank

We are a growing media publication with a huge problem: Lots of people who come to us enter through many doors.  And everyone in our organization needs access to our contacts, and needs to see what's going on, all the time. We use Zoho CRM to keep track of our contacts--thousands of them.

We use Constant Contact for Newsletters, and occasionally for announcements of special deals with some of our other media partners.  When we do, we suddenly have another list to which we have SOME, but not ALL Access.  We have to know who generated that list, and how much permission we have to contact them.

Getting the idea?

Before Cazoomi, we literally spent hours managing contacts and media leads. Going to trade shows, conferences and seminars was a nightmare when we got back with stacks of business cards.  We had to sort each into different formats, upload to two different sites, and all the while we had no way of knowing in Zoho CRM if someone in Constant Contact opted out. We wound up using high priced sales and marketing talent, because it wasn't worth hiring and training someone else for something that happens in spurts.

So we really, really, really needed a seamless--emphasis on the seamless--way to get contacts synched between Constant Contact and Zoho CRM.  Along came SyncApps from Cazoomi.  We switch it on, schedule it and it just does its work.  We have a contact group in Constant Contact called Zoho, so we can see how many new people have come over from Zoho CRM.  If we duplicate someone by mistake, Constant Contact picks it up so we don't email someone twice, or--worse--email someone who has opted out. So now we just put any new contact into Zoho CRM, and let our Cazoomi SyncApp bring it on over.

Between headache relief, cost savings, and the smiles on our sales staff, it's been a huge boon.

Thanks Clint and all the folks at Cazoomi.

"Sunday Night Thoughts on B2B for Small Business" by Jon Nicponski

B2B for the Small Business has long been a focus in my career and continues since joining as an Integration Advisor @Cazoomi.

In our effort to sync the systems of small businesses, which contribute most to our nation's growth as a technology powerhouse, Cazoomi has found that this effort is key to the second wave of growth around Cloud services.

At Cazoomi we see a lot of service companies catering to synchronization of applications for medium and large business.  These companies usually implement their solutions using a core of re-usable synchronization code and then relying on their consultants to write custom connectors to that code.   It is the necessity for up front customization that leads to large upfront costs and more often than not delays in implementing their solutions.

Today’s small and medium businesses are reaping huge benefits by utilizing Software-as-a-Service (SaaS) offerings such as NetSuite, Salesforce, Constant Contact, ExactTarget, Get Satisfaction, Highrise CRM, PaySimple, SugarCRM, Zoho and Zendesk.   The key appeal for many of the customers of these applications is that there is no upfront cost and a simple pay as you go model.

When these same small businesses realize the need to synchronize information across two or more of these SaaS platforms, they are still confronted with a solutions implementation model, and they often avoid synchronization all together due to the large upfront cost.

At Cazoomi, with the help of our partners' platform offerings, we are working on a line of SaaS synchronization connectors that can be purchased on-line by companies with a low monthly fee and  NO upfront cost.  These solutions are configured simply at the time of purchase by the customer entering the credentials of the services they want synchronized, and then are instantiated real-time on each platform to begin working for the customer immediately.

Our key take-a-ways this month within our member network have been that offering a SaaS, small monthly fee sales model, to provide customers large company benefits is the way to reach those small businesses which contribute so much to our nation’s growth in so many ways.

- Jon Nicponski

*Update: July 4th week @cazoomi will announce it's new "simple framework" to allow small businesses to large enterprises to sync the systems they use on a daily basis to simplify & leverage their existing applications.
